What we collect
When you ask to book
Your name, phone number, optional email address, the reason for your visit, when suits you and any note you add.
When you visit us
Your eye test results, prescription, eye health findings and the history you share with us. This is health information, a special category under POPIA, and we treat it with extra care: only the people looking after you see it.
Medical aid and payment
Your medical aid details, when you ask us to check or claim your benefits. Card payments are handled by our card machine provider; we never store your full card number.
When you use this website
Our host keeps short technical logs (IP address, browser, pages requested) to keep the site secure. They are deleted within 30 days. The booking page shows a Google map, which your browser loads from Google under Google's own privacy policy.
Why we use it, and on what basis
| Purpose | Basis |
|---|---|
| Calling you back to book | Steps you asked for (POPIA section 11) |
| Testing your eyes and keeping clinical records | Providing the care you asked for, and the health record rules that apply to optometrists (section 32) |
| Medical aid claims | Your instruction, and our agreement with you |
| Accounting and tax | Complying with the law |
| Keeping this website secure | Our legitimate interests |
| Measuring which pages and ads lead to bookings | Our legitimate interests; you can turn it off at any time (see Cookies) |
We never sell your information and we do not use your number for marketing unless you ask us to.
Who we share it with
- Your medical aid, when you ask us to claim
- Lens laboratories, to make your glasses or contact lenses (prescription and measurements only)
- A doctor or ophthalmologist, if you need a referral
- Our website host, email provider, card machine provider, bank and accountant
- Google, for website analytics and ad measurement
Some providers store data outside South Africa. We only use providers bound by laws or agreements that protect it as well as POPIA does (section 72).
How long we keep it
- Booking requests that do not become appointments: 6 months.
- Clinical records: about 20 years.
- Payment and tax records: five years.
Cookies
We use Google Analytics and Google Ads measurement to see which pages and ads lead people to book. We do not use them to show you personalised ads. Visitors from the European Economic Area, the UK and Switzerland are not measured with cookies.
- _ga and _ga_*: Google Analytics, tells visits apart, kept up to 2 years
- _gcl_*: Google Ads, links a booking to the ad that led to it, kept 90 days
- bo-consent: remembers your choice in your browser, not a cookie
To turn these cookies off, use "Turn off analytics cookies" at the bottom of any page. Google then receives only anonymous signals without cookies. You can also block cookies in your browser settings.
Your rights
You may ask what we hold about you, ask us to correct or delete it, and object to how we use it. Call 011 706 7791 or ask at the counter. If you are not happy with our answer you may complain to the Information Regulator (inforeg.org.za, POPIAComplaints@inforegulator.org.za). Requests for records are covered by our PAIA manual.
